Position Summary

Cheslatta Carrier Nation (CCN) is seeking a highly organized and professional Executive Assistant to provide direct administrative and coordination support to Chief and Council. Reporting to the General Manager, the Executive Assistant ensures the smooth, efficient operation of Council activities, manages scheduling and correspondence, and acts as a key point of contact between Chief and Council, CCN staff, and external partners. This role requires discretion, sound judgement, and the ability to manage sensitive and confidential information with professionalism.

Key Responsibilities

  • Council & Executive Support

    • Provide direct administrative support to Chief and Council, including scheduling, meeting preparation, and follow-up;

    • Prepare, format, and distribute agendas, briefing materials, and supporting documents for Council meetings;

    • Record, prepare, and distribute accurate minutes of Council meetings and track outstanding action items;

    • Coordinate the preparation and tracking of Band Council Resolutions (BCRs), ensuring proper documentation, signatures, and filing;

    • Manage Chief and Council's calendars, travel arrangements, and meeting logistics, including with external governments, agencies, and partners;

    • Maintain strict confidentiality regarding Council discussions, governance matters, and sensitive community issues.

  • Correspondence & Communication

    • Draft, proofread, and manage correspondence on behalf of Chief and Council, including letters, emails, and formal communications;

    • Act as a point of contact for community members, government representatives, and partner organizations contacting Chief and Council's office;

    • Coordinate communication flow between Chief and Council and CCN departments, ensuring timely follow-up on Council directives;

    • Support the preparation of reports, presentations, and public communications as directed.

  • Administrative & Records Management

    • Maintain organized, secure filing systems for Council records, resolutions, correspondence, and governance documents;

    • Ensure records are retained, stored, and disposed of in accordance with CCN policy and applicable privacy requirements;

    • Process invoices, expense claims, and other administrative documentation related to Chief and Council;

    • Order supplies and coordinate logistics for Council meetings, community events, and official functions involving Chief and Council;

    • Maintain an up-to-date contact list of key government, industry, and community partners.

  • Event & Meeting Coordination

    • Coordinate logistics for Council meetings, community engagements, and official ceremonies, including venue, catering, and materials;

    • Support the planning and coordination of community gatherings, signings, and other events involving Chief and Council;

    • Liaise with other CCN departments to ensure smooth coordination of joint events and initiatives.

Qualifications

  • Education

    • Diploma or certificate in Office Administration, Business Administration, or a related field; equivalent combination of education and experience will be considered.

  • Experience

    • Minimum of three (3) years of experience in an executive assistant, administrative, or office management role;

    • Experience working with First Nation governments or organizations is considered a strong asset;

    • Experience preparing meeting minutes, agendas, and formal correspondence in a governance or executive setting.

  • Knowledge, Skills & Abilities

    • Strong understanding of, or willingness to learn, First Nation governance structures and protocols;

    • Excellent written and verbal communication skills, with strong attention to detail and accuracy;

    • High degree of professionalism, discretion, and ability to manage confidential and sensitive information;

    • Strong organizational and time-management skills, with the ability to manage multiple priorities and deadlines;

    • Proficiency with Microsoft Office (Word, Excel, Outlook, PowerPoint) and general office technology;

    • Ability to work independently with minimal supervision, while exercising sound judgement;

    • Valid BC Driver's Licence and access to a reliable vehicle is an asset.

Working Conditions

This position is based at the CCN Administration Office in Southbank (Danskin), BC, with occasional travel required for Council meetings, community events, and engagements with external partners. Some flexibility in hours may be required to accommodate Council meeting schedules, including occasional evenings.

Salary is commensurate with experience and qualifications. CCN offers a comprehensive benefits package, including extended health and dental coverage and a group pension plan, in accordance with CCN's personnel policies.
